This policy applies to all personal data and sensitive personal information collected and processed by HappyBats Tennis in the conduct of its business, in electronic format in any medium and within paper filing systems. This policy is effective from 18/05/18.
HappyBats Tennis recognises The General Data Protection Regulation and is actively working towards compliance with that regulation.
How and why we process personal information
Personal data will be collected and processed only to the extent that it is needed to fulfil business needs or legal requirements. We will not collect excessive information that is not relevant to the purpose for which the information is being collected.
Data is collected by HappyBats Tennis via Zebranet (“Bookmyclass”) on the “Book now!” page of the HappyBats Tennis website; www.happybatstennis.co.uk. Information entered on this page is stored by Zebranet on the “Bookmy” servers. Zebranet is registered with the Information Commissioners Office as a data controller; this means they hold the information entered but don’t do anything with it. Data is stored on secure “Bookmy” servers, housed in Sheffield.
Legal basis for processing data
The processing of personal information for the purposes of running our business is done so on the basis of consent. We request the following essential information at the time of booking:
- Child’s name
- Parent’s name
- Parent’s address
- Parent’s email address
- Name of adult accompanying child to class
- Child’s date of birth
- Medical/special educational needs information
- Emergency contact number on the day of the class
- The data entered to be stored by Zebranet on their secure servers in Sheffield
- The data entered to be processed by HappyBats Tennis on submission of the form and for up to 1 year after the child’s last class at HappyBats or their 6th birthday, whichever is later
- The data entered to be used for direct marketing such as sending of newsletters, reminders about booking and class updates
- HappyBats to contact you by email, mobile phone or letter
Data sharing
HappyBats Tennis does not transfer personal information outside the European Economic Area.
Personal data will not be shared with a third-party organisation without your explicit consent.
Retention of data
Your data will be held for the duration of the child’s time at HappyBats and up to 1 year after their last HappyBats class or their 6th birthday, whichever is later, for internal record keeping.
Your Rights
HappyBats Tennis will process your data in accordance with your rights as given under GDPR. Should you wish to enact your rights, this can be done verbally or in writing to: HappyBats Tennis, Forest View, School Road, Lover, Salisbury, Wiltshire SP5 2PW. We will acknowledge receipt of your request within 3 working days and will find a resolution to your request within one calendar month.
Right to be informed
Individuals have the right to be informed about the collection and use of their personal data. Please see above for information relating to collection and use of personal data by HappyBats Tennis.
Right of access
You have a right to access your personal data. No fee will be charged for this. Your personal information will not be disclosed until your identity has been verified.
Right to rectification
You have the right to have inaccurate personal data rectified or completed if it is incomplete.
Right to erasure
You have the right to request the deletion or removal of your personal data, where there is no overriding reason for us to continue processing.
Right to restrict processing
You have the right to suppress the processing of your personal data in certain circumstances. This means that we could hold your data but would be unable to use it for any purpose.
Right to data portability
You have the right to receive personal data you have provided to Zebranet in a structured, commonly used and machine-readable format. It also gives you the right to request that Zebranet transmits this data directly to another controller.
Right to object
You have the right to object to the processing of your personal information in certain circumstances. You have the absolute right to stop your data being used for direct marketing.
Rights related to automated decision making including profiling
HappyBats Tennis does not use automated decision making or profiling.
